Terms & Conditions
1. About the program
The Loyalty Program ("Program") is operated by The Healthlink Crew ("we", "us", "our") and is available at participating cafes located within council-owned leisure centres in Melbourne. The Program allows eligible members to earn points on qualifying purchases and redeem those points for reward coupons.
By enrolling in the Program, you agree to be bound by these Terms and Conditions, our Privacy Policy, and any additional terms communicated to you from time to time.
2. Eligibility and enrolment
2.1 Who can join
• The Program is open to individuals aged 18 years or over.
• Enrolment is personal and non-transferable. One membership per person.
• Employees of The Healthlink Crew are not eligible to participate.
2.2 How to enrol
• Sign up online via the enrolment page using a valid email address and mobile phone number.
• A digital loyalty card will be issued to your digital wallet upon successful registration.
• A sign-up bonus of 100 points will be credited to your account within 24 hours of registration.
3. Earning points
3.1 Earn rate
Members earn 10 points for every $1 spent on qualifying purchases at participating cafes. Points are calculated on the total transaction value (inclusive of GST) and rounded down to the nearest whole point.
3.2 Qualifying purchases
All food and beverage items purchased at participating cafes are qualifying purchases, except as noted below.
3.3 Exclusions — points are not earned on:
• Hot beverage items - a stamp card system is applied for this product category.
• Purchases made using a reward coupon (the discounted portion only — points are still earned on any amount paid)
• Catering or wholesale orders (unless otherwise agreed in writing)
• Any transaction where the loyalty card is not presented or scanned at the time of purchase
3.4 Weekend surcharge
A 10% weekend surcharge applies to all transactions on Saturdays and Sundays. Points are calculated on the base amount charged, exclusive of the surcharge.
Example: A member spends $13.00, excluding the 10% weekend surcharge. They earn 130 points (13 x 10).
3.5 Bonus and promotional points
From time to time, we may offer bonus point promotions (such as double points days, birthday bonuses, or category promotions). The specific terms of each promotion will be communicated at the time of the offer and will apply in addition to these Terms and Conditions.
4. Reward coupons
4.1 Redemption threshold
When a member accumulates a certain threshold, a reward coupon will be automatically issued to their account. This usually requires a total qualifying spend. Details on redemption thresholds will be provided once it is activated.
4.2 How coupons are issued
• Reward coupons are issued digitally and accessible through your loyalty account.
• Members will be notified when a coupon has been issued.
• Coupons may be redeemed at any participating cafe location.
4.3 Coupon validity and expiry
• Each reward coupon is valid for up to 90 days from the date of issue, unless specified.
• The expiry date will be clearly displayed on the coupon.
• Expired coupons cannot be reinstated or reissued.
4.4 Coupon conditions
• Coupons are single-use only and have no cash value.
• Coupons cannot be combined with other offers or promotions unless expressly stated.
• Coupons cannot be transferred, sold, or exchanged.
• Change will not be given if the coupon value exceeds the transaction total — the remaining value is forfeited.
4.5 Points reset after redemption
Upon reaching the 1,000-point threshold and issuance of a reward coupon, the member's points balance will reset to zero. Earning recommences from zero on the member's next qualifying purchase.
5. Coffee stamp card
Members also participate in a digital coffee stamp card. One stamp is issued for each coffee purchased at a participating cafe. Upon earning 10 stamps, a free regular-sized coffee will be issued as a reward.
• The stamp card operates independently of the points balance and does not reset upon points redemption.
• Free coffee rewards are valid for 90 days from the date of issue.
• The free coffee reward applies to a regular-sized coffee only. Upgrades are available at the standard price difference.
6. Points expiry
Points expire 12 months after the date of the member's last qualifying earn or redemption activity. If a member does not earn or redeem points within any 12-month period, their accumulated points balance will be forfeited.
We will make reasonable efforts to notify members prior to points expiry via email or SMS. It is the member's responsibility to ensure their contact details are current.
Example: If your last purchase was on 1 August 2026, your points will expire on 1 August 2027 unless you make a qualifying purchase before that date.
7. Account management
7.1 Member responsibilities
• Members are responsible for maintaining the security of their digital loyalty card.
• Members must notify us promptly if their card is lost or if they suspect unauthorised use.
• Members must keep their contact details (email address and phone number) up to date.
7.2 Lost or stolen cards
If your digital loyalty card is lost or your account is compromised, contact us at administration@thehealthlinkcrew.com.au. We will deactivate the existing card and issue a replacement. Points balances at the time of deactivation will be transferred to the new card where we are reasonably able to verify your identity.
7.3 Account closure
Members may close their accounts at any time by contacting us. Upon closure, any accumulated points and unredeemed coupons will be forfeited. Closed accounts cannot be reinstated.
8. Program changes and termination
We reserve the right to modify, suspend, or terminate the Program at any time. Where possible, we will provide at least 30 days' notice of any material changes to these Terms and Conditions via email or in-cafe signage.
Material changes include alterations to the earn rate, reward threshold, reward value, or points expiry period. Minor administrative changes may be made without notice.
We are not liable for any loss suffered as a result of changes to or termination of the Program, provided reasonable notice has been given.
9. Privacy and data collection
We collect and handle your personal information in accordance with the Australian Privacy Principles under the Privacy Act 1988 (Cth) and our Privacy Policy, available at thehealthlinkcrew.com.au/pages/privacy-policy.
9.1 What we collect
• Name, email address, and mobile phone number (at registration)
• Purchase history and transaction data
• Points balance and redemption history
• Device and digital wallet information
9.2 How we use your information
• To operate and administer your loyalty account
• To issue and track reward coupons and stamp card progress
• To send you loyalty program communications (points balance updates, reward notifications, program changes)
• To send you marketing communications, where you have consented
9.3 Marketing communications
We will only send you marketing emails or SMS messages if you have opted in at registration or subsequently. You may withdraw consent at any time by clicking 'unsubscribe' in any email or contacting us directly. Withdrawal of marketing consent does not affect your program membership or transactional notifications.
9.4 Your rights
You have the right to access, correct, or request deletion of your personal information held by us. To exercise these rights, contact us at administration@thehealthlinkcrew.com.au. We will respond within 30 days.
10. Fraud and misuse
We reserve the right to suspend or terminate any membership where we reasonably suspect fraudulent activity, misuse of the Program, or a breach of these Terms and Conditions. This includes but is not limited to:
• Creating multiple accounts to accumulate additional sign-up bonuses
• Manipulating transactions to generate points artificially
• Transferring or selling points or coupons to third parties
In the event of suspected fraud, we may withhold points and rewards pending investigation. Any points or rewards obtained through fraudulent means will be forfeited.
11. Limitation of liability
To the extent permitted by law, we are not liable for any loss or damage arising from:
• Technical failures affecting the digital loyalty card or rewards system
• Unauthorised access to a member's account
• Changes to or termination of the Program with reasonable notice
• The expiry of points or coupons in accordance with these Terms
Nothing in these Terms limits any rights you may have under the Australian Consumer Law.
12. Governing law
These Terms and Conditions are governed by the laws of Victoria, Australia. Any disputes will be subject to the exclusive jurisdiction of the courts of Victoria.
